Terms of Use

Last updated: 23 October 2026

These terms set out the agreement between you and the Club Check-In team for using the Club Check-In app and the service behind it.

About these terms

These terms are an agreement between you and the Club Check-In team for your use of the Club Check-In app at club-check-in.co.uk. By signing in or using the app you agree to them. If you do not agree, please do not use the app.

Our Privacy Policy explains how we handle information; it forms part of these terms.

Who may use the app

Club Check-In is built for the people who run a club — secretaries, treasurers and committee members — and you must be at least 18 years old to use it. By using it you confirm that you are authorised to act for the club whose data you enter or manage.

You are responsible for the information you enter into the app, including making sure it is accurate and that you are entitled to hold it.

Your account

You sign in with your Google, Apple or Facebook account. Keep that account secure — anyone who can sign in with it can reach your club's data. You are responsible for what happens through your account.

One account can own one club, but you can be invited to clubs owned by other people. Access is personal to you: do not share your sign-in or let others use your account.

Club data

The records a club creates in the app belong to that club. We store and process them so the app can work, but we do not own them and we do not use them for our own purposes.

A club's data is kept separate from every other club's, and inside a club the owner decides who can join, what access level each person has, and can revoke or delete that access at any time.

Subscription and billing

Creating and managing a club requires an active subscription, billed monthly through Stripe at the price shown on the Membership page when you subscribe. Subscriptions renew automatically each month until they are cancelled.

You can cancel at any time from the Account dialog. Cancelling stops all future charges and you keep full access until the end of the period you have already paid for; after that the club becomes unavailable, but nothing is deleted, and it opens again as soon as an active subscription or complimentary access is in place.

Payments already made are not refunded for part of a period except where the law requires it. We may change the subscription price in future, and will give you notice before a change affects you. People who are invited to a club do not need a subscription.

Complimentary access

We may grant complimentary access to the app at our discretion. It gives the same privileges as a paid subscription, may be time-limited, and may be changed or withdrawn.

Invitations and access

Access to a club is by invitation from the club owner. The owner decides who is invited, what level of access each person has, and may revoke or delete that access. Invitations are for the person invited and must not be forwarded or shared.

Acceptable use

Please use the app as it is intended. You must not:

  • use the app for anything unlawful, or store unlawful content in it
  • try to gain access to a club, an account or any data you are not entitled to see
  • interfere with, disrupt or attempt to overload the app, or try to copy, decompile or resell it
  • use the app to send spam or unwanted messages, or to store personal information you are not entitled to hold
  • misrepresent your identity or your authority to act for a club

We may suspend or close an account that breaks these terms.

Availability and changes to the app

We work to keep Club Check-In running reliably, but we cannot promise uninterrupted service. The app may be unavailable during maintenance or if something goes wrong, and features may be added, changed or withdrawn over time.

Keep your own records

The app includes a backup tool in the Danger zone that lets a club owner download a full copy of the club's data. We strongly recommend taking a backup regularly, and keeping your own club records — such as bank statements and receipts — separately.

Actions such as deleting a member, deleting an old season snapshot, resetting all data to factory default or deleting the owner's account are permanent and cannot be undone.

Our liability

Club Check-In is provided as it is. We do not warrant that the app will be free of faults or that the records in it will always be complete or accurate — accuracy depends on what clubs and their officers enter.

To the extent the law allows, we are not liable for indirect or consequential losses, or for loss of profit, income, goodwill or data. Nothing in these terms limits any liability that cannot lawfully be limited, including for death or personal injury caused by negligence, or for fraud.

Ending your use

You can stop using the app at any time. Deleting your account from the Account dialog cancels your subscription first, then closes any club you own and removes its data, and removes your account.

We may suspend or end your access if you break these terms, if we are required to by law, or if we stop providing the app. Where we can, we will give you notice so you can take a backup first.

Changes to these terms

We may update these terms as the app changes. The date at the top of the page shows when they were last updated, and continuing to use the app after a change means you accept the updated terms. If a change is significant we will make it clear in the app.

Governing law

These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction over any dispute arising from them.

Contact us

If you have a question about these terms, please send us a message using the Contact Us form, which you can also reach from the Help screen in the app. Questions about a club's records, attendance or balances are usually best answered by the club's owner or another club officer. Our Privacy Policy explains how we handle personal information.
